Our Commitment to Protecting Your Privacy

The Hamilton Centre Riding Association (referred to as “we,” “us,” or “our”) is dedicated to protecting the privacy and personal information of our members, volunteers, supporters, and the public. This Privacy Policy outlines how we collect, use, disclose, and protect your personal information in compliance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and other relevant laws.

Additionally, we receive limited personal information from Elections Ontario, such as voter lists, for electoral purposes.

Why We Collect Personal Information

We collect personal information to communicate with you about our association’s activities and events, enable your participation as a volunteer, donor, or supporter, comply with legal requirements under the Election Act, solicit contributions and issue tax receipts, provide updates about local and provincial initiatives, and improve our outreach efforts through feedback and analytics. We will not use personal information for purposes other than those identified here without obtaining your consent, except where required by law.

How We Protect Your Information

We take the security of your personal information seriously. Physical safeguards include secure storage of records in locked facilities. Technological protections include encryption, firewalls, and access controls to protect digital data. Administrative controls involve training for staff and volunteers on privacy practices and limiting access to personal information. We retain your information only as long as necessary for the purposes outlined in this policy. When no longer required, data is securely destroyed.

Information Sharing and Disclosure

We do not sell or trade your personal information. Your information may be shared with authorized representatives involved in our activities, campaigns, or elections, third-party service providers who comply with our privacy standards, and Elections Ontario as required by law for reporting purposes. All recipients of personal information must agree to use it solely for the intended purposes and follow our privacy standards.
